1. Introduction

These Consultation Terms & Conditions (the "Terms") govern the booking, conduct, and scope of consultations provided by Rasouli Immigration Service Corp. ("we," "our," or "the firm"). By booking, paying for, or attending a consultation — whether in person, by telephone, or by video conference — you confirm that you have read, understood, and agreed to these Terms and to our Privacy Policy.

Our services are provided in accordance with the professional and ethical standards of the College of Immigration and Citizenship Consultants (CICC) for Regulated Canadian Immigration Consultants (RCICs).

2. Nature and Scope of a Consultation

A consultation is a limited professional discussion intended to provide general guidance regarding Canadian immigration matters based solely on the information you provide at the time of the consultation. It is not a comprehensive legal opinion, a guarantee of eligibility, or a substitute for full case preparation.

  • Consultations are based only on the facts disclosed during the session.
  • Preliminary opinions may change after a complete review of supporting documents.
  • No formal document review, legal research, or case preparation is included in a standard consultation unless expressly agreed in writing.
  • The scope of any consultation is limited to the duration and subject matter booked.

3. No Consultant-Client Relationship Without a Signed Retainer

Booking, paying for, or attending a consultation does not, on its own, create a consultant-client relationship, nor does it constitute formal representation. A professional retainer — including any obligation to represent, advise, or advocate on your behalf before IRCC, IRB, or any other authority — arises only after:

  1. a written retainer agreement has been executed by both parties; and

4. Free Preliminary Assessments

Free preliminary assessments offered through our website or AI assistant are general informational tools only. They are not legal opinions, eligibility determinations, or formal advice, and they do not create any professional relationship. Decisions about your immigration matter should not be based solely on a free assessment.

5. No Guarantee of Outcome

Immigration outcomes are determined solely by Immigration, Refugees and Citizenship Canada (IRCC), the Immigration and Refugee Board (IRB), provincial nomination programs, visa offices, and other competent authorities. Accordingly, we do not guarantee:

  • eligibility for any immigration program or category;
  • approval of any application, visa, permit, or status;
  • processing times or decision timelines; or
  • any specific or particular immigration result.

Any opinions expressed during a consultation reflect a professional assessment based on currently available information and applicable rules at the time, and remain subject to change without notice as a result of regulatory, policy, or factual developments.

6. Fees, Payment, and Currency

Consultation fees are payable in full at the time of booking unless otherwise agreed in writing. The standard consultation fee is CAD $150 for a 45-minute consultation. All fees are quoted in Canadian dollars (CAD) and are exclusive of applicable taxes unless stated otherwise. Payment is accepted by Interac e-Transfer or direct bank transfer; banking details are provided upon request. Payment confirms acceptance of these Terms.

7. Cancellations, Rescheduling, and No-Shows

  • Rescheduling: A consultation may be rescheduled once at no additional cost, provided written notice is given at least 24 hours before the scheduled start time.
  • Late cancellations: Cancellations made less than 24 hours before the scheduled time may result in forfeiture of the consultation fee, at our discretion.
  • No-shows: Failure to attend a scheduled consultation without prior notice will result in forfeiture of the full consultation fee.
  • Late arrivals: If you arrive late, the consultation will still conclude at its scheduled end time. We are not obligated to extend the session.
  • Technical disruptions: Where a consultation cannot proceed due to verifiable technical issues on our side, we will offer a reasonable alternative time or, in our discretion, a refund or credit.

8. Refund Policy

Consultation fees are generally non-refundable once the consultation has commenced or where cancellation occurs outside the timeframes set out above. Refund requests will be considered on a case-by-case basis where exceptional circumstances apply, at our sole and reasonable discretion. Where a refund is granted, it will be processed using the original payment method within a reasonable time.

9. Honest and Complete Disclosure

The accuracy and usefulness of any consultation depends entirely on the completeness and truthfulness of the information you provide. You agree to disclose all material facts relevant to your immigration matter, including prior refusals, misrepresentations, criminal or medical history, and any other facts that may affect eligibility. We are not responsible for the consequences of incomplete, inaccurate, or misleading information provided by you.

10. Electronic Communication and Technology Risks

Consultations and related communications may be conducted or supported through electronic channels and platforms, including but not limited to:

  • email;
  • telephone and SMS;
  • messaging applications such as WhatsApp;
  • online booking and scheduling systems;
  • video-conferencing platforms;
  • AI-assisted administrative tools;
  • cloud-based storage and document-sharing systems.

By using these channels, you acknowledge that electronic communication and cloud-based services inherently involve privacy and security risks, including the possibility of interception, delay, loss, technical failure, or unauthorized access. While we apply commercially reasonable safeguards, we do not — and cannot — guarantee uninterrupted, fully secure, or error-free transmission, and we are not liable for events caused by third-party platforms or networks outside our reasonable control.

11. Consultation Records and Administrative Technologies

For quality assurance, compliance, scheduling, and regulatory record-keeping purposes, we may:

  • maintain internal consultation notes and summaries;
  • store contact, booking, and intake data within secure scheduling systems;
  • use secure AI-assisted administrative tools to support drafting, organization, transcription, or workflow management;
  • retain records consistent with CICC professional record-keeping standards and applicable Canadian law.

Such records are treated as confidential and handled in accordance with our Privacy Policy. Consultations are not recorded (audio or video) without prior notice and consent.

12. AI Assistant and Website Information

Our website and AI assistant provide general information only. They are not licensed consultants, do not provide individualized legal advice, and may produce incomplete or inaccurate responses. No consultant-client relationship is created by interacting with them. Decisions should not be made in reliance solely on automated responses, and we encourage clients to confirm important information through a formal consultation with an RCIC.

13. Conduct and Professional Boundaries

We reserve the right to refuse, end, or decline to continue any consultation where a conflict of interest exists, where the matter falls outside our area of practice, where the conduct of the participant is abusive, harassing, or unlawful, or where continuing would be inconsistent with our professional obligations. Where reasonable, we will attempt to redirect the matter or provide a partial refund or credit at our discretion.

14. Confidentiality

Information shared during a consultation is treated as confidential and is used only for the purposes of the consultation, related services, and our professional and legal obligations. Disclosure may occur where required by law, regulation, or order of a competent authority, or where authorized by you in writing.

15. Intellectual Property

All materials prepared by the firm, including written summaries, templates, checklists, and strategy notes, remain our intellectual property. They are provided for your personal use in connection with your matter and may not be reproduced, redistributed, or used for commercial purposes without our written consent.

16. Limitation of Liability

To the fullest extent permitted by law, Rasouli Immigration Service Corp., its principal, employees, contractors, and affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss or damage arising out of or related to:

  • reliance on information shared during a consultation, particularly where it was based on incomplete or inaccurate facts;
  • scheduling, booking, or technical errors on the website or third-party platforms;
  • interruptions, delays, or failures of electronic communications;
  • decisions, processing times, or actions of IRCC, IRB, provincial programs, visa offices, or other authorities;
  • acts or omissions of third-party service providers, including translators, notaries, courier services, or technology vendors; or
  • reliance on website content, free assessments, or AI assistant responses.

Where liability cannot be excluded under applicable law, our aggregate liability relating to a consultation shall not exceed the consultation fee actually paid by you for that consultation. Nothing in these Terms is intended to exclude or limit any liability that cannot be excluded or limited under Canadian or British Columbia law, including liability for gross negligence or willful misconduct.

17. Indemnity

You agree to indemnify and hold harmless the firm from any claims, losses, or liabilities arising from your provision of inaccurate, incomplete, or misleading information, your misuse of consultation materials, or your breach of these Terms.

18. Governing Law and Jurisdiction

These Terms are governed by and construed in accordance with the laws of the Province of British Columbia and the applicable federal laws of Canada. Any dispute arising in connection with these Terms or a consultation shall be subject to the exclusive jurisdiction of the courts of British Columbia.

19. Severability

If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions shall continue in full force and effect, and the invalid provision shall be modified to the minimum extent necessary to make it enforceable while preserving its original intent.

20. Language and Governing Version

These Terms are issued in English. While translations or summaries may be provided to assist your understanding, the English version is the official and controlling version. In the event of any inconsistency, discrepancy, or dispute regarding interpretation, the English version shall prevail and shall be the sole binding text between the parties.

21. Entire Understanding and Acceptance

These Terms, together with our Privacy Policy and any written retainer agreement, represent the entire understanding between you and the firm regarding consultations. We may update these Terms from time to time; the version posted on our website at the time of your booking governs that consultation. By submitting the consultation booking form, ticking the acceptance checkbox, or proceeding with payment after receiving these terms, you confirm that you have read, understood, and accepted these Consultation Terms & Conditions and the Privacy Policy.

Rasouli Immigration Service Corp. ("we," "our," or "us") is a Canadian immigration consulting firm located in North Vancouver, British Columbia, Canada.   • Communication and consultation records: emails, form submissions, AI assistant messages, voicemail content, appointment details, internal notes, consultation notes, and follow-up records.
  • Technical information: IP address, browser type, device identifiers, pages viewed, referring URLs, approximate location, cookie data, analytics data, and website interaction data.

Please do not submit highly sensitive information, original documents, passport numbers, financial account details, medical information, or confidential case materials through unsecured channels unless we specifically request them and provide appropriate instructions.

3. How We Use Information

We use personal information only for purposes that a reasonable person would consider appropriate in the circumstances, including:

  • To respond to inquiries, free assessment requests, booking requests, and general questions.
  • To conduct preliminary eligibility screening and identify possible Canadian immigration pathways.

4. Consent

By submitting a form, sending an email, booking a consultation, using the AI assistant, communicating with us by phone, SMS, WhatsApp, video conference, or otherwise providing personal information, you consent to our collection, use, disclosure, storage, and retention of that information for the purposes described in this Privacy Policy.

We seek meaningful consent by explaining the nature, purposes, and reasonably foreseeable consequences of our information practices. You may withdraw consent at any time by contacting us using the details in Section 18, subject to legal, contractual, regulatory, professional, and record-retention limitations. If consent is withdrawn, we may be unable to continue responding to your inquiry or providing services.

5. Website Information, Assessments, and No Consultant-Client Relationship

Submitting a free assessment form, sending a booking request, exchanging messages with the AI assistant, receiving website information, sending an email, or contacting us through the website does not create a consultant-client relationship, fiduciary relationship, representative relationship, or duty to act on your behalf.

A formal consultant-client relationship for representation or application services begins only after a written retainer agreement has been accepted by both parties and applicable fees have been received. A consultation is a limited professional discussion and does not, by itself, create ongoing representation or authorize us to communicate with government authorities on your behalf.

Website content and free information should not be relied upon as individualized legal or immigration advice. Immigration law and policy are fact-specific and subject to change. Past outcomes, website descriptions, preliminary comments, AI responses, assessment messages, or consultation discussions do not guarantee future results. Any preliminary view is necessarily limited by the information available at the time and may change after document review, legal research, policy updates, or further instructions.

7. Disclosure and Service Providers

We do not sell, rent, or trade personal information. We may disclose personal information only where reasonably necessary and appropriate, including:

  • Government and regulatory authorities: to IRCC, CBSA, the IRB, provincial nominee programs, visa offices, courts, tribunals, or CICC where authorized by you, required by law, required for retained services, or required for professional compliance.

  • Using the AI assistant does not create a consultant-client relationship or representative duty.

10. Data Storage, Cloud Services, and Cross-Border Processing

Personal information may be stored or processed in Canada and, through certain service providers, in the United States or other jurisdictions. When information is processed outside Canada, it may be subject to the laws of those jurisdictions, including lawful access requests by foreign courts, governments, or law enforcement authorities.

We use reasonable contractual, administrative, and technical measures to protect personal information handled by service providers. However, electronic communication, cloud-based services, AI processing, online booking systems, and internet transmission inherently involve privacy and security risks that cannot be eliminated completely.

11. Data Retention

We retain personal information only as long as reasonably necessary for the purposes described in this Privacy Policy and to meet legal, regulatory, professional, accounting, insurance, quality-control, and risk-management obligations.

Client files and related records for retained matters are generally retained for at least six (6) years after file closure or the last substantive activity, unless a longer period is required or reasonably appropriate under applicable law, CICC expectations, insurance requirements, professional obligations, or the nature of the matter. Consultation records, internal notes, booking records, payment records, and correspondence may also be retained for documentation, compliance, quality control, and dispute-prevention purposes.

Free assessment inquiries and unconverted website inquiries are generally retained for a shorter period, typically up to two (2) years, unless continued retention is reasonably required for compliance, documentation, fraud prevention, quality control, or to respond to a later inquiry. AI chat records and technical logs may be retained for a limited period for safety, troubleshooting, quality monitoring, and system improvement.

12. Security Safeguards

We use physical, organizational, and technological safeguards appropriate to the sensitivity of the information, including encrypted transmission where available, access controls, password-protected systems, secure cloud services, limited internal access, confidentiality practices, and administrative procedures designed to protect against unauthorized access, loss, misuse, disclosure, alteration, or destruction.

Despite these safeguards, no website, email system, messaging platform, video conference, cloud service, AI tool, or method of electronic storage or transmission can be guaranteed to be fully secure, uninterrupted, or error-free. We use commercially reasonable safeguards, but absolute security cannot be guaranteed. Where required by law, we will assess and provide notice of privacy breaches.

13. User Rights and Access Requests

Subject to applicable law, including the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and the British Columbia Personal Information Protection Act (PIPA), you may have the right to:
